Drop Zapier — connect WordPress straight to CareHQ
If you've tried wiring WordPress forms into CareHQ with Zapier, Make or a custom webhook, you already know the pain — per-task billing, brittle JSON mappings and a multi-hop chain that breaks the moment a field changes. The CareHQ WordPress Form Connector replaces all of it with one direct, native integration.
Transform Your Inquiry Management
What you get
Why teams pick the CareHQ WordPress Form Connector
Every feature is wired to CareHQ's API and the form builder you already use — not a generic webhook bridge.
No per-task billing
Flat per-care-home pricing. Send a million enquiries a year if you want — your bill doesn't move.
One hop, not three
Form → Connector → CareHQ. No middleware, no queue, no automation cap.
Zero JSON or webhook setup
Visual field mapping replaces 'paste this webhook URL into Zap step 2'. Marketing can ship it without engineering.
Data never leaves the UK chain
WordPress → Connector → CareHQ. No US-based middleware reading your enquiries in transit.
Conditional routing built in
Route by care home, brand or campaign with a dropdown — not a fan-out of paid Zaps.
Logs you can actually read
Every send is logged with payload + response. Replay a failed enquiry in one click.
Setup
Live in three steps
Around 10 minutes from install to first enquiry landing in CareHQ. No code, no Zapier, no developer.
- 1Step 1
Switch off the old Zap or webhook
Pause the Zapier zap, Make scenario or custom webhook that's currently moving enquiries into CareHQ. Nothing else needs to change on the form.
- 2Step 2
Install and connect the plugin
Upload the CareHQ WordPress Form Connector, paste your CareHQ Account ID and API key, and it auto-detects every form on the site.
- 3Step 3
Map fields once and switch over
Drag CareHQ fields onto your form fields, save, and submit a test enquiry. When it lands in CareHQ, archive the old automation for good.

Questions
Replace Zapier — answered
Zapier charges per task, so a busy enquiry form turns into a recurring monthly cost. It also adds two extra hops (form → Zapier → CareHQ) where data can be delayed, dropped or rate-limited. The connector removes all three problems with a single direct integration.
No. The connector only creates and updates contacts on new submissions. Switching from Zapier to the connector does not touch records that are already in CareHQ.
No. Pause the relevant zap, run the connector for a day, confirm enquiries are landing correctly, then turn the zap off for good. Many teams cancel their Zapier plan entirely once the connector is live.
Keep them. The connector only replaces the CareHQ leg of your automation stack. Anything else (Slack pings, Sheets backups, etc.) can stay in Zapier untouched.
Yes. Direct API calls reach CareHQ in around one second. Zapier's free and starter plans batch tasks every 1–15 minutes, so the connector typically delivers enquiries an order of magnitude faster.
